Supplier Verification Policy

Why this policy exists

VendorLink displays a “Verified supplier” badge next to some businesses. Buyers rely on it, so it has to mean something specific and checkable. This policy states exactly what we check, what the badge does not promise, and how it can be lost.

1. What we check before the badge is granted

  • Legal existence. An extract from the state register showing the business is registered and active, and its legal name matches the profile name.
  • Tax identification. A valid VÖEN (or the equivalent in the supplier’s country of registration).
  • Authorised contact. A named person who confirms, from a company email address or verified phone number, that they may act for the business.
  • Working contact details. Phone and email confirmed by us actually reaching the contact, not merely supplied on a form.
  • Category-specific licences. Where the goods or services require a permit, licence or certificate under Azerbaijani law, evidence that it exists and is in date.

2. What the badge does not mean

The badge is an identity check, not a quality guarantee. It does not mean that we have tested the products, inspected a factory or warehouse, assessed financial standing or solvency, confirmed stock levels or lead times, audited certifications beyond checking that a document was produced, or that we endorse the supplier.

Buyers remain responsible for their own commercial and technical due diligence before placing an order.

3. Re-verification

Verification is re-checked at least every [REVERIFICATION PERIOD], and additionally whenever a supplier changes legal name, ownership or authorised contact, or when a credible complaint is received.

4. Losing the badge

We suspend or withdraw the badge where documents expire and are not renewed, information proves false or outdated, a licence is revoked, the supplier persistently ignores RFQs or fails to honour quotations, there is credible evidence of fraud, counterfeit goods, or unsafe products, or the Acceptable Use Policy is breached. We tell the supplier why and, where the issue can be fixed, how.

5. Reporting a problem

If you believe a verified supplier’s information is wrong or the badge is being misused, write to [TRUST EMAIL] with the supplier name and what you observed. We investigate every report and respond within [RESPONSE DAYS] days.

6. Fees

Verification is free. We do not sell the badge, and it cannot be obtained by paying for a plan.
